To create a new work request, select Requests —> Open Request. This opens a window that contains the following:
- W/R Number: An identifier number assigned to this work request. Normally, you leave this field blank; in this case, MainBoss will automatically assign a number. However, you can also type an explicit identifier number in this space if you don't want to use MainBoss's identifier.
- Date: The date you received the request. Normally, you leave this field blank; in this case, MainBoss automatically fills in today's date. However, you can also type an explicit date if you want to record the request as coming in on a different date.
- Req. By: The name of the person who submitted the work request. If this is left blank, MainBoss will use the requestor name associated with the equipment or space involved in this request. If the equipment or space record does not have a requestor, you must fill in a requestor name.
The drop-down list shows your current Contacts table (see Contacts). If the requestor is not currently in your Contacts table, click the New Requestor button to add the requestor to the table.
Once you have chosen a requestor from the list, that person's phone and email address are displayed if they are available (i.e. if they are given in the requestor's Contact table entry).
- New Requestor: Lets you add an entry for this requestor to the Contacts table. For more about recording information in the Contacts table, see Entries in the Contacts table.
- Equipment: Select this if the work request applies to a piece of equipment.
- Space: Select this if the work request applies to a space.
- Building: The building containing the equipment or space that needs service.
- Unit: The identifier code of the equipment or space that needs service. The drop-down list for this field will only show equipment or spaces in the specified "Building".
- Work Cat.: The overall nature of the problem (for example, TOO HOT/COLD). For more about work categories, see Work Categories.
- Subject: A one-line description of the problem. Following this is a larger space where you can enter more details. All work requests must have a "Subject" filled in.
- Access: An access restriction code. This may indicate to workers when the work can or can't be done, and any other restrictions on access to the work area. For more about access restriction codes, see Access.
- Priority: A priority code, indicating how urgent the work is. For more on priorities, see Priorities.
- Save & New: Saves the current record and clears fields in the window so you can enter a new record.
- Clone: Creates a new work request that has the same information as the current entry. The "W/R Number" field in the new entry is blank, so that you can fill in a new identification number.
- Void: Cancels a work request that was previously saved. This button is disabled when you are entering a new work request; it is only activated when you are browsing old requests.
Note: When you void a work request, MainBoss removes the request from the "active" list. However, MainBoss retains all of the information that was in the voided request; you can get a list of voided requests using the Work Request browser as described in Browsing Work Requests. |
- Save & Print: Saves the current record and opens a window for printing the work request. For more about printing work requests, see Printing Work Requests.
- Save: Saves the current record, but leaves all data as is. You can then continue to edit the same record.
- Cancel: Closes the editor window. MainBoss discards any new information or changes that you haven't explicitly saved with Save.
